1. Who We Are and What This Policy Covers
CustomCowboyHat.com is operated by Branson Jessel as a sole proprietorship in the United States. In this policy, “we,” “us,” and “our” refer to that business.
We supply custom-branded cowboy hats for businesses, organizations, venues, events, and individuals. This policy explains how we collect, use, disclose, and retain information in connection with CustomCowboyHat.com, our website tools, inquiries, quotations, invoices, checkout, order fulfillment, and related business communications.
This policy also describes the use of professional contact information for our hat-business outreach.
2. Information We Collect
The information we receive depends on how you interact with us.
Contact and Customer Information
When you contact us, request a quote, prepare an invoice, or place an order, we may receive:
- Your name, business or organization name, email address, and telephone number.
- Billing and shipping addresses.
- Product choices, quantities, colors, sizes, branding methods, and customization instructions.
- Logos, artwork, design previews, and production approvals that you submit.
- Event dates, delivery requirements, and other information relevant to your request.
- Correspondence, communication preferences, and customer service records.
Order, Invoice, and Payment Information
We may maintain invoice and design identifiers, selected products, quantities, prices, discounts, taxes, transaction totals, payment status, shipping information, production specifications, and records of adjustments or disputes.
Payment details are processed through the payment services used by our checkout. Through our ordinary checkout administration, we do not receive complete payment card numbers or card security codes. We may receive transaction confirmations and limited payment details made available by the provider.
Website and Technical Information
Squarespace and other services used to deliver the website may process IP addresses, browser and device information, pages visited, timestamps, referring websites, approximate location, interactions, cookie identifiers, and related technical records. Information available to us varies with the service, its settings, and your browser and privacy choices.
3. Standalone Logo Designer
Our standalone logo designer lets you upload, edit, preview, and download artwork in your browser.
Using the standalone logo designer does not automatically submit your uploaded logo or completed design to CustomCowboyHat.com. Editing or downloading a logo in that tool does not create an order submission to us.
If you later submit the artwork through the hat designer, an invoice or order process, email, or another communication channel, we may receive and retain it as described below.
Website hosting, fonts, software resources, and other ordinary page requests may still involve technical information, even when you do not submit artwork or place an order.
4. Hat Designer, Invoice Generation, and Submitted Artwork
The hat designer lets you configure products, upload artwork, preview branding, and prepare an invoice and order configuration.
When you use the designer’s invoice-and-checkout action, the system transmits the submitted business contact details, product configuration, invoice, and associated artwork to our order-processing infrastructure. Cloudflare services support the transmission and storage of those files.
The invoice and artwork are saved before checkout and payment. We may therefore receive and retain a submitted design or invoice even if you do not complete your purchase. Simply viewing the designer or changing a preview does not, by itself, trigger that invoice-and-artwork submission in the tool.
We use submitted materials to review requests, match invoices to payments, confirm production specifications, arrange manufacturing, answer questions, resolve quality concerns, and support repeat orders. Unpaid submissions may also be retained to troubleshoot the submission process or respond to an inquiry.
Submitting an invoice or design does not establish that payment has been completed, that an order has been accepted for production, or that artwork has received final production approval.
Customers retain their existing intellectual property rights in submitted logos and artwork. Submission does not, by itself, transfer ownership of those rights to us.
5. Checkout, Payments, and Order Administration
We use Squarespace for website hosting, commerce, checkout, and order management. Squarespace and the applicable payment providers process the information needed to complete a transaction.
We access and monitor submitted invoices, completed orders, payment confirmations, and transaction records to:
- Reconcile invoices and payments.
- Confirm quantities, artwork, and customization requirements.
- Coordinate manufacturing, shipping, and customer service.
- Investigate errors, suspected fraud, disputes, or other order concerns.
- Maintain financial, accounting, tax, and business records.
Information entered during an incomplete checkout may also be processed or retained by Squarespace, depending on enabled features and platform settings. Our custom designer’s pre-payment file submission is described separately in Section 4.
Payment providers process information under their applicable privacy notices and service terms.
6. Analytics, Search Reports, and Technical Logs
Squarespace Analytics
Squarespace provides information about visits, page views, referrals, approximate locations, devices, website interactions, shopping activity, and sales. If Activity Log is enabled, it may also make limited visit-level information available to us, including IP addresses, timestamps, and pages accessed.
Squarespace also processes certain technical browsing information as an independent controller under its own privacy policy. Its role is described in its privacy policy and terms of service.
Google Search Console and Bing Webmaster Tools
We use Google Search Console and Bing Webmaster Tools to understand search visibility, search queries, impressions, clicks, indexing, and technical search issues. Available reports may include performance by page, device, geographic category, or supported search experience.
These services principally provide aggregated search-performance information. They do not ordinarily identify visitors to us by name or provide their email addresses or telephone numbers.
Security and Delivery Logs
Squarespace, Cloudflare, and other infrastructure providers may process technical and security logs to deliver services, detect abuse, investigate errors, and protect the website. Our hat-designer submission process uses Cloudflare Turnstile security verification, which processes technical signals to assess automated or abusive activity.
7. Cookies, Browser Storage, and External Resources
Our website uses cookies and related technologies for functions such as security, shopping carts, checkout, preferences, and analytics, subject to the features and settings in use.
The hat designer also uses browser local storage to carry a submitted configuration into the product and cart flow. That configuration can include the business name, email address, telephone number, design identifier, product selections, and related order details. Browser storage is distinct from the invoice and artwork files transmitted to our order-processing infrastructure.
You can manage cookies and locally stored website data through your browser’s controls and any privacy controls available on the website. Clearing that data may interrupt a pending configuration or cart handoff. Clearing browser storage does not delete information already submitted to us or held by a service provider.
The website may load fonts, software libraries, and other resources from third-party services or content delivery networks. Those services may receive the technical request information needed to deliver the resources, such as an IP address and browser information.
Nonessential cookies and similar technologies are subject to applicable consent requirements. Available controls and the effects of blocking a technology depend on the website settings and the service involved.
8. How We Use Information
We use information for the following business purposes:
- Answering inquiries and preparing quotations, invoices, and order documentation.
- Reviewing submitted designs and confirming production requirements.
- Processing payments and producing and delivering customized hats.
- Providing order updates, customer service, and assistance with repeat orders.
- Maintaining records and resolving accounting, shipping, or transaction discrepancies.
- Maintaining and improving website functionality, usability, security, and search visibility.
- Conducting business outreach and managing communication preferences.
- Preventing fraud or abuse and meeting applicable legal obligations.
We seek to collect and use information reasonably relevant to these purposes. Where applicable law requires a legal basis for processing, the basis may include taking steps at your request before a transaction, performing a contract, complying with legal obligations, pursuing legitimate business interests, or obtaining consent where required.
9. Business Outreach and Communication Choices
We primarily market to businesses and organizations. We may obtain professional contact details from public business websites, directories, professional listings, public business social media accounts, referrals, meetings, and direct communications.
Our internal outreach records may include business names, professional contact details, contact sources, correspondence, outreach history, responses, expressed interest, and communication preferences.
We may communicate through email, telephone, text messages, business website contact forms, and other permitted channels, subject to applicable marketing, privacy, and consent requirements. Email and business correspondence may be processed through Google Workspace and other communication services we use.
To request that we stop promotional contact, use the opt-out method in the communication, tell us in your reply or conversation, or contact [email protected]. For text messages, you may reply to request that promotional texts stop. We record opt-out requests and may retain limited suppression information to help honor them.
Submitting an inquiry, artwork, or an order does not, by itself, provide any consent that applicable law requires for promotional calls, texts, or emails. Order administration and customer service communications may continue when needed to fulfill an existing request, resolve an issue, or meet a legal obligation.
10. Information Sharing and Service Providers
We disclose information as reasonably necessary to operate the hat business, fulfill requests, and meet legal obligations. Recipients may include:
- Squarespace: Website hosting, commerce, checkout, analytics, and order management.
- Payment providers: Payment processing, transaction verification, refunds, fraud prevention, and dispute handling.
- Cloudflare: Custom order-file transmission and storage, security verification, and related infrastructure.
- Email and communication providers, including Google Workspace: Business correspondence, customer service, and related records.
- Manufacturing partners: Artwork, branding instructions, product specifications, quantities, and relevant fulfillment details.
- Shipping and logistics providers: Contact and delivery details needed to transport an order.
- Technical and professional providers: Website support, accounting, legal assistance, and other business administration.
- Resource-delivery providers: Fonts, software libraries, and other website resources, as described in Section 7.
We seek to limit disclosures to information relevant to each recipient’s responsibilities. We may also disclose information when legally required or reasonably necessary to investigate abuse, protect rights or safety, resolve disputes, or defend legal claims.
We do not sell customer payment information, private order records, or customer-submitted artwork.
Providers may process information under our arrangements with them and their own applicable privacy notices. Linking to a provider’s notice does not replace our responsibilities for the information we handle.
11. International Manufacturing and Processing
We use manufacturing partners and service providers that may be located outside the United States. To fulfill an order, we may provide overseas partners with approved artwork, product specifications, quantities, delivery requirements, and relevant contact or shipping information.
Our hosting, payment, communications, and infrastructure services may also process or store information in other countries. Privacy laws in those countries may differ from those where you live. International processing remains subject to any safeguards required by applicable law.
12. Gallery Photos, Logos, Testimonials, and Case Studies
We may feature completed merchandise, customer photographs, business names, logos, testimonials, and case studies to demonstrate our work.
We seek appropriate authorization before using customer-submitted artwork or other protected customer materials for public promotional purposes. Placing an order or submitting a logo does not, by itself, authorize unrestricted public use of that material.
The use of artwork to manufacture your order is separate from using it in public marketing. Contact us if you have a question, concern, or removal request about published material relating to your business.
13. Retention and Deletion
We retain information for as long as reasonably necessary for the purposes described in this policy. Relevant considerations include the type of record, the status of a request or order, ongoing customer relationships, repeat production needs, legal obligations, and dispute or security concerns.
- Submitted invoices and designs, including unpaid submissions: May be retained to administer requests, investigate submission issues, answer questions, and support a later order.
- Paid orders and financial records: Retained for accounting, tax, fulfillment, dispute resolution, and other applicable recordkeeping requirements.
- Artwork and production approvals: May be retained for order verification, repeat production, customer service, and quality-control concerns.
- Outreach and suppression records: Retained as appropriate to manage sales communications and honor contact preferences.
- Analytics and technical logs: Retained according to the relevant provider’s settings, policies, and operational requirements.
When information is no longer needed, we seek to delete, anonymize, or securely dispose of it. Deletion requests are subject to applicable legal exceptions and recordkeeping needs. Copies held in provider systems or backups may follow the applicable service’s deletion and backup cycles.
You can request deletion of eligible information by contacting us. Please identify the information or submission involved, such as the business name, contact email, order number, or design identifier. Deleting files from your own device or clearing browser data does not remove records already submitted to us.
14. Security
We use established hosting, payment, and infrastructure services and take reasonable technical and administrative steps to protect information. Access to customer records and submitted artwork is intended to be limited to people and service providers with an appropriate operational need.
No internet transmission or electronic storage system provides absolute security. Please avoid sending payment card security codes or sensitive information unrelated to your request through ordinary email, contact forms, or artwork uploads.
15. Privacy Requests and Rights
Depending on the law that applies to you and our business, you may have rights to request access, correction, deletion, or information about our collection and disclosure practices; object to or restrict certain processing; withdraw applicable consent; or opt out of certain marketing or other uses of personal information.
Contact [email protected] to make a request. Include enough information to help us locate the relevant records, without sending unnecessary sensitive documents. We may need to verify your identity or authority when appropriate for the request and permitted by law.
We review requests in accordance with applicable law, including its response requirements, exceptions, and record-retention obligations. A request to stop promotional contact does not require you to provide identity documents. We may retain limited information needed to honor that request.
16. Children’s Privacy
Our website is intended for businesses, organizations, and individuals purchasing custom merchandise. It is not directed toward children under 13, and we do not knowingly solicit personal information from children under 13.
If you believe a child under 13 has provided personal information to us, contact us so we can review the matter and take appropriate steps under applicable law.
17. Third-Party Notices and Policy Updates
External websites and independently operated services have their own privacy practices. Relevant provider notices include:
- Squarespace Privacy Policy.
- Cloudflare Privacy Policy, including its Turnstile privacy information.
- Google Privacy Policy.
- Google Cloud Privacy Notice, including Google Workspace.
- Microsoft Privacy Statement.
We may update this policy when our operations, services, or applicable requirements change. The updated version will be posted here with a revised effective date. We will provide additional notice or obtain consent for changes when required by applicable law.
